Understanding and Managing Mirror Notes

Updated over 5 months ago

The Mirror Notes feature in the Client Notes Library makes it easy to reuse and manage your notes efficiently. When you select notes from the library, they are added as Mirror Notes, allowing you to leverage existing content without duplicating the notes and creating a mess of your advice database.

Terminology: Original Note vs. Mirror Note

  • Original Note are what you have created and added to an event.

  • Mirror Note is a mirror copy of that Original Note. Any changes to Original Note will be reflected in the Mirror Notes.

Here’s how you can work with Mirror Notes effectively:

Working with 'Mirror Notes'

When you add notes from the Client Notes Library, they’ll appear as "Mirror Notes." You can identify them with the blue line.

Here are a few key points on using and editing them:

  • Editing Mirror Notes: If you edit a Mirror Note, it will automatically create a new note and will no longer be a mirror of the original note, which is then stored in the Client Notes Library for future reference.

  • Editing the Original Note: If you want to update the original note instead, click on 'Actions' and select 'Go to Original Note'. This avoids creating duplicates.

When you select 'Go to Original Note', it takes you directly to the original meeting date. From there, you can find and edit the note. Once saved, any changes will apply to all events where the Mirror Note is used.

Deleting Notes and Handling Mirror Notes

If you choose to delete an original note, and it's mirrored in other events, you’ll receive a confirmation prompt with options for managing the mirrored notes in those events.

Different Types of Mirror Notes

  • Mirror Note
A mirror note is indicated by a blue-lined border, signifying that it functions as a standard mirror note.

  • Mirror Note with Smartfields
A mirror note with Smartfields features a blue and red-lined border, denoting that it includes integrated Smartfields functionality.

The new Client Notes Library is designed to save you time and enhance your workflow by keeping all your client notes organized and easily accessible.
