What you can do: Add Information to the Note Template

Smart fields are dynamic placeholders in a document that can be automatically filled with specific data relevant to different clients. These fields are particularly useful in templates reused across various contacts, ensuring that each communication is tailored to the individual recipient. Common examples of smart fields include firm names, monetary amounts, years, and other client-specific information - anything customizable.

How to Create Smart Fields.

1. Initiate the Creation: Start by typing a slash / followed by any character in the desired location within your note template.

2. Add the Smart Field: After typing, click on "Add Smartfield." This action opens a menu where you can select the type of data you wish to input.

Choosing the Right Data Type

When adding a smart field, you can select from various data types, each suited for different kinds of information:

  • Text: Ideal for names, locations, and other non-numeric data.

  • Number: Best for amounts, quantities, or any numeric data. This type includes formatting options like decimals and separators.

  • Date: Useful for deadlines, dates of events, or any temporal information.

  • List: Allows you to include a list from which you can select an option.

You also have the option to make each field reusable across different templates or tailored to a specific one.

Once you've created and added a Smart field to a note or every time you select this note across different clients, the app will prompt you to fill in this information.

Example of Using a Smart Field

You can create quite complex note templates.

Template: "I recommend you invest [amount] in [new investment]. This will align well with your [goals]. [Add some rationale here.]"

[amount], [new investment], [goals], and [rationale] are smart fields where specific investment names and amounts can be inserted based on different client portfolios.

Managing Blank Fields

If a smart field is left blank, the "Fill Fields" option becomes available. This feature allows users to complete the fields at a later time, ensuring no details are missed before sending out the communication.

Also, as an additional check, sending the email or creating a PDF will prompt you to fill out the blank fields.

  1. Smart Fields depend on your advice/recommendations.

  2. You can create as many Smart Fields in one note as you wish.
