Who can use this?
Email Delegation is available to all team members once it has been enabled for your firm. Each advisor controls who can send on their behalf from their own Email Settings.
Overview
Email Delegation lets advisors authorize other team members to send emails using their connected email account. This is useful when an assistant needs to send client communications on behalf of an advisor, or when a team member is covering for a colleague.
There are two types of delegation permissions:
Permission | What it allows |
Single | Send individual one-to-one emails (e.g., from a document or contact) using the grantor's email address. |
OutReach | Send campaign-style emails (OutReach bulk sends) using the grantor's email address. |
Step 1: Request Email Delegation for Your Firm
Email Delegation must be enabled by the Pulse360 team before anyone in your firm can use it. Because delegation allows team members to send emails from another person's account, we require a brief conversation to make sure your firm understands the privacy and liability implications.
To get started, email [email protected] and let us know you'd like to enable Email Delegation. We'll walk you through the risks involved and activate the feature for your firm once confirmed.
Why do we require this?
Delegated sending means emails go out from another advisor's email address. To protect your firm and your clients, we want to ensure you understand the privacy and delegation risks before turning this on. This is a one-time setup β once enabled, your team can manage permissions on their own.
Step 2: Grant Send Permissions to Team Members
Once delegation is enabled for your firm, each advisor can choose which team members are allowed to send emails on their behalf.
Go to Settings > Email Settings (under "Personal" in the sidebar).
Scroll down to the Email Delegation section at the bottom of the page.
You'll see a list of all active team members in your firm. Use the toggles next to each person to grant them permission:
Single β allows them to send individual emails from your account
OutReach β allows them to send campaign emails from your account (Coming Soon)
If your firm has more than 5 team members, a search bar will appear at the top of the list to help you find people quickly.
Your email must be connected.
You can only delegate sending permissions if you have an active email connection (Gmail, Outlook, etc.) in Pulse360. The email your delegates send will come from your connected email address.
Step 3: Send an Email on Behalf of Someone Else
When a colleague has granted you Single send permission, you'll see a "From" dropdown in the Send Email modal that lets you choose whose email to send from.
Open the Send Email modal (e.g., from a document via Share > Send as Email).
Click the From dropdown at the top of the modal.
Select the team member whose email you want to send from.
Compose your email as usual and click Send Now.
The dropdown shows each person's name and their connected email address. The email will be sent from their account, and the recipient will see their name and email address as the sender.
What happens if the selected sender's email is disconnected?
If you select a team member whose email connection has expired or been disconnected, the modal header will turn red and display a warning message with their name. You won't be able to send the email until they reconnect their email in their own Settings, or you switch to a different sender.
Important:
You cannot reconnect someone else's email on their behalf. If you see a disconnection warning for a delegated sender, please ask them to go to Settings > Email Settings and reconnect their account.
Sending from Documents
When working in the document editor, you can also trigger a delegated send via the Select Sender option. If you choose a specific advisor as the sender from within a document, the Send Email modal will automatically pre-select that advisor in the "From" dropdown when it opens.
Frequently Asked Questions
How do I get Email Delegation turned on?
Email [email protected] to request activation. We'll discuss the privacy and delegation risks with you and enable it once confirmed.
Can I revoke someone's delegation access?
Yes. Go to Settings > Email Settings > Email Delegation and toggle off the permissions for that team member. The change takes effect immediately.
Will the recipient know the email was sent by someone else?
No. The email appears to come directly from the grantor's email account. The recipient will see the grantor's name and email address as the sender.
Does delegation work for OutReach campaigns?
Yes, if the grantor has enabled the OutReach toggle for you. This allows you to send campaign-style bulk emails on their behalf.
What if I don't see the "From" dropdown in the Send Email modal?
The "From" dropdown only appears if at least one team member has granted you Single send permission. If no one has granted you access, the dropdown won't be shown and emails will be sent from your own account as usual.
Does the grantor need to keep their email connected?
Yes. If the grantor's email connection expires or is disconnected, you'll see a warning in the Send Email modal and won't be able to send on their behalf until they reconnect.
