Using Segments with Your CRM Integration

Using Segments with Your CRM Integration - Contact Tags/ Tag Groups

Updated over a month ago

The Segments feature helps you organize your clients into meaningful groups—such as Gold, Silver, or Bronze tiers—and sync those groups directly from your CRM.

Currently, Redtail and Wealthbox support pulling Contact Tags/ Tag Groups directly into Segments.

Salesforce users can still create and manage segments manually within the app.

We will automatically match up the contacts and the tags, and we can keep them in sync with the CRM.

Step 1: Create Tags in Your CRM (if not created already)

For Redtail

  1. Go to a Contact → Tag Groups

  2. Click Add and create the tags you want to use — for example:
    Gold Clients

    Silver Clients

    Bronze Clients

  3. Assign the appropriate tag to a few test contacts.

Once saved, these tags will automatically sync into the Segments view in your app.

For Wealthbox

  1. Go to Contacts → Manage Tags.

  2. Create tags such as AAA, B Clients, or C Clients.

  3. Assign those tags to your contacts

  4. Wait 10–20 seconds for the app to sync your tags

Step 2: Initial Sync and Refresh Changes

After your tags are created in your CRM, perform an initial sync to bring them into Segments.

This step imports the tags and automatically attaches them to your matching contacts in the app. To sync:

  1. Go to Settings → Segments.

  2. Click Pull from CRM.

  3. Wait a few seconds—depending on your CRM connection, it may take up to 20 seconds for the data to appear.

Once complete, you’ll see your CRM Contact Tags / Tag Groups reflected as Segments in the app.

Note: If you later make changes in your CRM (for example, renaming or adding a tag), simply click Pull from CRM again to refresh your Segments.

Step 23: View Segments in the App

You can view your synced tags in two ways:

  • From Settings: Go to Settings → Segments.

  • From a Contact: Open any contact and scroll to the Segments section.

Tags imported from your CRM will display automatically once synced.

Step 4: Manage Segments

You can manage segments directly from within the app:

  1. Open a Contact record.

  2. Under Segments, click + (plus sign button).

  3. From here, you can:

    • Add or remove Pulse Segments (created in-app)

    • Add or remove CRM Segments (synced from your CRM)

CRM Segments will show your CRM’s logo next to them, so you can easily tell them apart from Pulse-only segments.
